  1. Members agreed we should take out the language of complaints and focus on a new approach that was more calming. Why is the board using the term ”official complaint”?

    If you must use the term ”official”, I would think the grievance becomes official at point b.

    4. PROCEDURE FOR DEALING WITH A GRIEVANCE REPORTED TO THE BOARD

    a. Beyond this 14-day notice period the Board may still consider the grievance, depending on the circumstances.

    b. It is sufficient to speak with any director in the first instance, but it’s helpful to complete and lodge the Board Notification Form with any director or the Secretary. If the form is not lodged, a director or the Secretary will assist with completing the form during the first conversation.

    c. The board will provide the members with an opportunity to meet and discuss their views as soon as practicable, with agreed meeting participants, two of which must be directors.

    d. Meeting minutes, any decisions, actions, or agreements must be signed by the members involved in the grievance and filed with the Secretary.
